OFFICE ADMINISTRATOR
Our Saviour Lutheran Church – Dryden, ON
Main Job Tasks & Responsibilities:
- answer the phone, respond to general inquiries, take and distribute messages promptly.
- greet the public/parishioners and direct them or take messages accordingly, acting as a welcoming representative of the Church.
- receive, sort and distribute mail/emails, prepare outgoing mail.
- work with Pastor’s calendar, help co-ordinate and organize meetings and appointments.
- type/scan/copy or fax documents/reports, prepare correspondence clearly and concisely.
- update and maintain databases (mailing, membership, records and contact information).
- maintain and update Church records (baptisms, confirmations, marriages and funerals).
- prepare and distribute/email weekly bulletin.
- prepare weekly PowerPoint presentations and streaming links.
- organize volunteers in service to Church ministries.
- receive and co-ordinate room rental requests, invoicing as required. Prepare a Rental Co-ordinator’s report for the Annual Report.
- monitor and replenish office supplies as needed, ensure office equipment is properly maintained and serviced.
- keep work area clean and tidy, foster a friendly environment while representing the Church with professionalism and care.
- other general duties as required for the smooth operation of the Parish.
Work hours:
- five 4-hour mornings a week (times to be established).
Skills required:
- proficiency with computer programs (Microsoft 365, PowerPoint, Excel).
- good communication skills allowing for confident and compassionate handling of inquiries.
- good organizational and time management skills while prioritizing tasks, managing multiple deadlines and keeping track of various schedules.
- sound work ethics.
- respect and maintenance of confidentiality is essential.
- community and Church membership knowledge is an asset.
